Provincial Records Management Seminars held in the Provinces

A series of Records Management Seminars were held in the following provinces viz.:
- East London - 31 July 2015;
- Free State - 21 October 2015;
- Western Cape - 24 November 2015;
- Mpumalanga - 3 December 2015;
- North West - 23 February 2016; and
- KwaZulu-Natal - 10 March 2016.
The Records Management Seminars held in the provinces are a result of a Memorandum of Understanding (MoU) signed between the National Archives and Records Service of South Africa (NARSSA) and the Auditor General of South Africa (AGSA) on 16 October 2012.
In order to implement the MoU, a working committee was established between representatives of the AGSA and NARSSA to engage and cooperate regarding the following matters:
- Interaction in the field of the organisation of orientation, training, seminars and conferences on key issues pertaining to records management;
- Consensus-seeking consultation on development and application of audit procedures aimed at identified aspects of records management;
- Knowledge sharing on the reporting of findings related to management of records kept by departments, entities, municipalities and any other body or institution audited by the AGSA; and
- Any other area that fall within the statutory mandate and functions of both institutions.
Other stakeholders in the field of records management, namely the Department of Cooperative Governance and Traditional Affairs (COGTA), South African Local Government Association (SALGA) and the State Information and Technology Agency (SITA), Department of Performance, Monitoring and Evaluation (DPME) and Department of Public Service Administration (DPSA) joined the working committee initially established by NARSSA and AGSA in its endeavours.
The aim of the Records Management Seminars is to build capacity and to strengthen good governance in the provinces.
AGSA and NARSSA also work closely with the Heads of the Provincial Archives who are charged in terms of their own provincial legislation with the proper management and care of public records in the custody of governmental bodies in the different provinces, to arrange the seminars.
One of the most important messages which emanated from the seminars is that managers need to take responsibility for the state of records management in their offices.
